About this role

Come and join one of the UK’s largest providers in complex care.

We have an amazing opportunity for a Site Administrator to join our caring and support team at our Hothfield Brain Injury Rehabilitation and Neurological Care Centre, our specialist centre in Kent, we look after adults with a brain injury or other neurological condition.

Set within the 12 acre grounds of a manor house, we specialise in intensive rehabilitation for people in the early stages of recovery from a brain injury right through to residential care.

Help redefine the recovery experience at Active Neuro

At Active Neuro, we’re building something extraordinary.

Across our services, we’re redefining how patients and families experience neurological rehabilitation — creating environments that feel welcoming, organised, professional and genuinely centred around the individual.

And at the heart of the day-to-day operation is our Site Administrator.
This is much more than a traditional administration role.

Based at Reception, you’ll be one of the first people our patients, families, visitors and professionals meet. You’ll set the tone from the moment someone enters the building, while also helping to keep the service organised and connected behind the scenes.

We’re looking for someone who is naturally organised, warm and professional. Someone who enjoys being at the centre of things, knows what is happening around them and takes ownership rather than simply passing things on.

What you'll be working:

  • Full Time
  • 37.5 hours per week
  • Working 5 days out of 7, including weekends and bank holidays
  • Shift patterns in line with service requirements
  • Location: Hothfield, Kent
  • Salary: £26,260.52

What you'll be doing:

  • You’ll be a central point of contact for the service, combining Front of House responsibilities with high-quality administration and coordination.
  • You’ll welcome patients, families, visitors, contractors and external professionals; answer calls and enquiries; support new patient arrivals and important visits; and make sure people are connected with the right person or Team.
  • You’ll also take real ownership of Reception and the entrance environment. From the organisation and presentation of the desk to flowers, plants, displays, signage, lighting and the general atmosphere, you’ll help ensure Front of House always feels calm, welcoming and reflective of AN standards.
  • Behind the scenes, you’ll provide important administrative support to the service, which may include payroll administration, information requests and other designated site processes, while handling confidential information with the appropriate care and discretion.
  • You’ll work closely with the Hotel Services Director, CONC and wider Hotel Services Team, as well as Nursing, Therapy, Medical and operational colleagues, helping information move between Teams and ensuring requests and actions don’t get lost.

Most importantly, you’ll take ownership.

If someone needs help, you won’t simply point them in another direction. You’ll understand what they need, connect them with the right person and help make sure things are followed through.

What you'll have:

    • Experience matters, but so does personality.
We’re looking for someone warm, confident, organised, polished and naturally helpful, someone who enjoys interacting with people while also being highly capable administratively.
    • You’ll need excellent communication and organisational skills, strong attention to detail and the ability to manage several priorities while remaining calm and professional. You should be proactive, solution-focused and comfortable taking responsibility for seeing things through.
    • You’ll have previous experience in an administrative, Reception, Front of House or customer-facing role, ideally within healthcare, rehabilitation, hospitality, private healthcare or another high-standard service environment.
    • Good IT skills are important, including Microsoft Outlook, Word and Excel, as is the ability to handle confidential and sensitive information professionally.
    • Above all, we’re looking for someone who understands that every interaction, every detail and every first impression matters.
Every Detail Matters. Every Moment Heals.

    What you'll find here:

We’re developing a much stronger and more consistent approach to Front of House and patient experience across Active Neuro.

As Site Administrator, you’ll have an important role in helping us bring that standard to life.

You’ll work in an environment where organisation, communication, presentation and attention to detail matter, and where the way someone is welcomed or supported can influence their entire perception of the service.

You’ll also be part of a wider Team where Administration, Hotel Services and Clinical colleagues work closely together around one objective: creating the best possible recovery experience for every patient.
